Post-Placement Administrative Assistant & Academic Support Coordinator

The Opportunity: The Post-Placement Program Coordinator is critical in supporting the Post-Placement Counseling Department (PPC). The department supports Prep for Prep students in grades 6 through 12 with managing the academic, social, and emotional aspects of attending an independent school. This person is key to the department's organization, communication, and overall administrative health.
 
This position reports to the Director of Post-Placement Counseling.
 

Responsibilities
  • Organize and maintain student records, including grades and other files
  • Answer telephones, relay messages, and provide administrative support to the Director of Post-Placement Counseling and the Associate Director of Post-Placement Counseling
  • Respond to parent/guardian inquiries that do not require the attention of the Director of Post-Placement Counseling or Associate Director of Post-Placement Counseling
  • Maintain up-to-date student/family information in the database by collecting and recording all student/family information changes submitted by PPC Counselors and other Prep for Prep staff members
  • Maintain the PPC dashboard and the shared Google Drive
  • Coordinate communication and registration process with students and parents around both internal and external opportunities, programming, and events - Conferences, Student Activities, etc
  • Maintain the PPC Community Website
  • Coordinate data collection for the beginning of each school year - release forms, administrative contacts, rosters, etc.
  • Coordinate the tutoring process with a partner company, match students, and regularly follow up with constituencies
  • Coordinate Financial Aid Season, including scheduling meetings, collecting data, etc
  • Order and distribute supplies for PPC
  • Support PPC with events and programming
  • Maintain the PPC Department calendar
  • Create correspondence, memos, and reports for PPC
  • Provide support to other departments when necessary
  • Other duties as assigned by the Director of Post-Placement Counseling
  • Coordinate the summer Academic Enrichment Program
 
 
Required Skills, Experience, and Competencies include:
 
  • Bachelor’s Degree preferred
  • One to three years of similar experience supporting an office/program
  • Previous experience attending, working with, or for independent schools is preferred
  • Sound judgment, compassion, a self-directed work ethic, and a commitment to achieving Prep for Prep's Mission
  • Superior written and oral communication skills
  • Able to communicate effectively at all levels of the organization and with its partners.
  • Excellent organizational skills, planning, and managing multiple competing priorities, ensuring delivery to deadlines, and maintaining attention to detail.
  • Proactive, creative, and takes a solutions-based approach to problem-solving.
  • Self-motivated and have the ability to work independently.
  • Team player and enjoys working in collaboration with others towards a common goal.
  • Competent user of Excel, Word, PowerPoint, databases, GSuite, and Salesforce.
  • Flexible and adaptable. This role requires some evening and weekend work.

Compensation Range: 
$55,000 to $60,000, based on experience
